Final Announcement (September 15th, 2003)

Dear Colleague,
this is third and final announcement containing more definite
practical details concerning the workshop. We have been forced to
delay the release of the final list of speakers and program until
September 15th, due to some last-minute adjustments and to the large
number of submitted requests of contributed talks. We invite all of
you to control regularly the web page of the workshop which we will
regularly update until Sunday September 28th, 2003.
Registration and Venue
Most
participants are expected to reach Vulcano on Tuesday September
30th. The Eolian hotel is within a walking distance from the
hydrofoils' and ferry boat attrack, on the Vulcano island, and there
will be clear indication on how to reach the hotel. A shuttle service
from the port to the hotel will also be made available during most of
the day on September 30th: you will easily recognize the car which
will bear the poster of the workshop. However, after 7 pm this service
will not be regular: if you plan to reach Vulcano in the late evening
of Wednesday or the following day, please let us know so we can try
toarrange a shuttle at a convenient time.
The registration- and
help desk will be located at the Hotel Eolian, in the Reception Hall,
for all the duration of the workshop. Registration will start on
September 30th, from 5 to 7 pm. Staff people will be present at
Registration and Help Desk in the following days according to the
following timetable: 8-12 am and 16:30-19:30 pm on October 1st and
2nd, 8-12 am on October 3rd and 4th.
Workshop format
The workshop will begin on Wednesday October 1st, 2003, at 8:30 and
will end on Saturday October 4th, 2003, at 12:30. There will only be
invited reviews an contributed talks (no poster session). Two morning
sessions and one afternoon session are planned during the first two
days and two morning sessions the third and fourth day. In the
afternoon of Friday October 3rd there will be a trip to a nearby
island, Lipari, and on Saturday there will only be two morning
sessions.
The two afternoon session will mostly occupied to two
Discussion sessions on two particularly ``hot'' subjects. The
sessions will be organised by F. Nicastro (CfA) and
M. Henriksen (U. Maryland). A special, after-dinner event will
be organised on Wednesday October 1st, when the software package
AstroMD will be presented. All the participants will receive a
full-licensed, free copy of this software at their address after the
conclusion of the Workshop.
As we mentioned above, there will only
be oral talks. The Scientific Organising Committee has made an effort
to accomodate almost all the contributed talks within the final program (note: the final program
will be released on September 16th). Invited reviewers have 45
minutes, and contributed talks 20 minutes (including discussion).
The SOC made also the choice of not having published
proceedings. However, participants will be asked to deliver copies of
their talks, either invited and contributed, which will be made
available to the scientific community through the web page of the
workshop. We would be grateful to those participants who plan to
deliver a PowerPoint or Staroffice presentation if they could make a
backup copy of their presentation on CD-ROM or floppy disk and deliver
to us at the registration, or before the end of the
workshop. Alternatively, contributions in the form of unpublished
reports are also welcome. We plan to keep active the web site
containing the contributed paper section of the workshop for 6 months
after the end of the workshop itself.
Presentations
A
overhead projector and two video projector will be available during
the workshop. The latter are SVGA projectors, and we tested them with
most recent high resolution (1024x768) laptop computers.
Social Program
A
welcome cocktail will be offered to the participants in the evening of
September 30th at the Hotel Eolian, starting at 7:30 pm.
Due to
the limited temporal extension of the workshop, there will not be any
special event for accompanying persons. However, the afternoon of
Friday October 3rd will be dedicated to a trip to the nearby island of
Lipari, the largest of the Eolian Islands. A ship will leave in the
early afternoon of Friday October 3rd (the exact time will be
communicated at registration) and will reach Lipari after
approximately 45 minutes. There will also be a tour of the Eolian
Museum, which hosts a rich collection of archeological findings from
the late bronze age to the ellenistic period. Later in the evening a
short vocal concert will be offered (most probably at the Hotel
Ristorante Carasco, but the actual site and place will be communicated
at registration), then at 8 pm the social dinner will start. The
latter will take place at the Hotel Ristorante Carasco. The
price is euros 35, to be paid at registration. After the social
dinner, at approximately 10:30 pm, the same ship will take all the
participants back to the Hotel Eolian in Vulcano.
In the unusual
circumstance that meteorological conditions will not allow the trip to
Lipari the participants will be informed the evening of the day before
(October 2nd), and the social dinner will be organised at the Eolian
Hotel.
Travel and other information
We have updated the information on how to reach Vulcano,
trying to get more precise information about the connections between
Vulcano and other destinations on Sunday October 5th.
Most of the
participants will leave Vulcano on Sunday October 5th. Some
participants have expressed the wish to prolong their visit after that
date. Note however that the Hotel Eolian is a seasonal hotel, and it
will cease to offer its services on October 6th! We regret then to
inform those participants who planned to stay longer at Eolian that
this is impossible.
